Privacy Code
Protecting our client's privacy and safeguarding their personal information is a commitment we make to each and every client prior to undertaking an assignment. Our Privacy Code formalizes our process and creates peace of mind with the client that their information is secure. It deals with the collection, use, disclosure and protection of private information as well as the client's right to access that information and correct it if inaccurate. We value your business and respect the trust that you have placed in us to protect the information you share in the course of doing business with us.
1. Identifying Purpose
The information collected from the client will be used by B L Garbens Associates Inc. to complete the assignment as outlined in the engagement letter to each client.
2. Consent
The knowledge and consent of the client are required for the collection, use, and disclosure of personal information, except as permitted by law or for security reasons. You may withdraw your implied consent at any time on providing us with reasonable notice. By withdrawing consent, we may not be able to provide you with the services previously agreed upon.
3. Limiting Collection
The collection of personal information shall be limited to that which is necessary to compete the assignment. We shall only collect information by lawful means.
4. Limiting Use, Disclosure and Retention
Personal information shall not be used or disclosed for purposes other than those for which it was collected, except with the consent of the individual or as required by law. We use your information to communicate with you, with various government agencies on your behalf and/or with your other advisors (with your express consent). Personal information is required by law to be maintained for at least 7 years.
5. Accuracy
Personal information shall be as accurate, complete and up-to-date as is necessary in order for us to complete assignments and to continue corresponding/communicating with you on a regular basis.
6. Safeguards
Personal information shall be protected by security safeguards appropriate to the sensitivity of the information. All staff are required to follow procedures with respect to maintaining confidentiality of our clients' non-public information. Additionally we maintain physical, electronic, and procedural safeguards to protect the information.
7. Openness
B L Garbens Associates Inc. will make readily available to clients specific information about its policies and practices relating to the management of personal information.
8. Individual Access
Upon request in writing, a client will be information within 30 days of the existence, use and disclosure of his/her personal information and shall be given access to that information. A client is able to challenge the accuracy and completeness of the information and have it amended as appropriate.
